You work in the finance department and part of your responsibility is sending payment reminders. A company rule is that after an invoice reaches a certain reminder level the customer is blocked, e.g. for shipment. It can be very time-consuming if, while creating reminders, you need to check if the level is reached and the customer needs to be blocked. Also, there is a risk of errors if you do it manually, like forgetting to set the block or having a typo in the customer number.
Let´s see how we can automate this process to save time.
First open Reminder Terms. In our example we have created two, one for domestic customers and one for foreign customers.
The reminder levels are already specified as this is a standard Microsoft function. We focus on the column Block on and choose the value Ship for level No. 3.
As a last step, it is mandatory to enter the Reminder Terms Code in the Payments FastTab on the Customer Card, otherwise, the setup will not apply.
We’ve filled DOMESTIC.
Now, the setup is finished, and we can try out the function. Therefore, open Reminders.
Click on Create Reminders… in the top menu.
Enter Options and Filters if required and confirm your choices with OK.
The created reminders are not posted yet. Open a reminder with Reminder Level 3 to check and adjust the document. When you are finished, press Issue… in the top menu.
On the Customer Card you will see that the Blocked field in the General FastTab is filled with Ship.
A Block Reason Code can also be filled, contact your consultant to set this up.
Now, after Reminders with Reminder Level 3 are issued, the customer is blocked automatically.
